How to use this invoice generator
Enter your business details and the client's, set the invoice number and dates, then list what you are charging for. Quantity Γ rate fills in each line amount, and the subtotal, discount, tax and amount due recalculate as you type. When it looks right, click Print / Save as PDF β in the print dialog choose "Save as PDF" as the destination to get a file you can email.
What the totals actually mean
Subtotal is the sum of the line amounts. The discount is applied to the subtotal first, and tax is calculated on the discounted amount β that is the order most tax authorities expect, and it is why a 10% discount plus 8% tax does not simply cancel out. The amount due is the taxable base plus tax.
What a compliant invoice usually needs
- A unique, sequential invoice number and the issue date
- Your legal name, address and tax/VAT ID where required
- The client's name and billing address
- A description, quantity and unit price for each line
- Payment terms, due date and how to pay
Assumptions and limitations
This is a formatting tool, not accounting software: nothing is stored, so a refresh clears the form, and there is no record of what you have issued. Tax rules differ by country and by service type β for cross-border work, VAT/GST treatment is usually the part people get wrong, so check with an accountant. Rounding is to two decimals per figure, which can produce a one-cent difference from a hand-written total.
